Executive Assistant
Summary Provide high-level administrative support by preparing board reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, coordinating the Marketing calendar, and scheduling meetings. Provide support for the Communications Team and Branded Team by doing such things as coordinating the production and printing of collateral and trade show materials, event planning, maintaining product and nutrition databases. This position supports: VP, Foodservice Marketing; Sr. Marketing Manager, Communications; Group Marketing Manager, Brands; Marketing Manager, Program Development; Bid Manager.
Essential Duties and Responsibilities
1. Responsible for the coordination and effectiveness of administrative support for the Marketing Department. Prepares correspondence, reports, and materials for publication and presentations. Arranges and coordinates travel schedules, reservations and manages expense reports. Coordinates project based work from entire Marketing Department.
2. Materials Management – responsible for the management and organization of Sales materials, Marketing materials, the media library, the research library, and product samples.
3. Supports Product Management - including product cuttings, updating At Risk products, and coordinates product sampling. Maintains nutrition database and Profile Showcase database (website nutrition information).
4. Assists in the planning and execution of special events including trade shows, sales meetings, and marketing meetings.
5. Manages the process for Board reports, Marketing Plan development and updates, and Product Review meetings.
6. Supports in bid preparation.

Must maintain the highest standards of data management by creating consistent, reliable data which will ensure accuracy and in turn, maximize the use of data and confidence in decision making.

Education and/or Experience
Bachelor's degree (B. A.) from four-year college or university, and three to five years related experience.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Strong writing, grammar, spelling, and professional communication skills are required.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills
To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software.
