Sales Assistant
Summary The position is accountable for providing administrative support to the Divisional Sales Manager. In addition, a key responsibility of this position will be to manage, update and provide training on the SalesLogix software tool to Field Sales.
Essential Duties and Responsibilities
1. Provide administrative support, including but not limited to:
Handle correspondences, mail, and travel arrangements. Monitor phone calls and faxes effectively and communicate critical issues to managers. Maintain vacation and sick leave records for division personnel. Receive and maintain sales monthly plan calendars and weekly expense reports. Manage Sales Office including ordering office supplies and maintaining office equipment. Prepare presentations for review meetings, sales meetings and general reports. Prepare and publish monthly reports and newsletters. Receive and audit Division and National Expenses and be the liaison with finance. Manage calendar for Division and National Account Processes such as Annual and Period Sales Action Plans, Coaching Plans, Performance Appraisals, and Sales Calendars. Coordinate Sales Meeting by assisting Directors as necessary in set-up of hotel and meeting room details.
2. Provide on-going database support for the SalesLogix software package such as database management, audit, and report writing/analysis. Set up and maintain security settings and perform basic customizations. Manage vendor relationship. Work with BPA/BPM support people to resolve any issues. Train field sales employees on using SalesLogix. Assist in developing and maintaining process documentation.
3. Support the BAF Fleet Program and interact with ARI (outside business unit) to manage and act as liaison between BAF and ARI. Management of Broker processes. Management of administrative details of Nacufs, including Sales coordination of National and Regional Meetings. Assist Team with reports, presentations, processes, and other administrative needs, as coordinated with the Division Manager. Work with Headquarter Account Manager to coordinate HQ Conference Show Notes and Allowances.
4. Demonstrate a daily commitment to the Basic Principles and Continuous Improvement Process by making certain that work processes add value to the internal and external customers via performing process reviews. Being a team player. Proactively look for improvements in processes, reports, presentations.
5. Maintain a Desk Manual detailing the procedures for the position.
6. Maintain positive rapport with key customers, external organizations and all levels within the company.

Must maintain the highest standards of data management by creating consistent, reliable data which will ensure accuracy and in turn, maximize the use of data and confidence in decision making.

Education and/or Experience
High school diploma or general education degree (GED); and two or more years related experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondences, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interests, commissions, proportions, percentages, areas, circumferences, and volumes. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, advanced skills preferred in Word, Excel and PowerPoint; Knowledge of SalesLogix is desired but not required; Access experience desired, but will provide training if necessary;
